What Even Keel Psychology got
Even Keel Psychology is a four-person AHPRA-registered practice in a converted cottage on Regatta Point Lane, Sandy Bay, run by founder Alison Marsh since 2016 on one plain rule: the fifty minutes booked is the fifty minutes used. Alison and senior psychologist Daniel Ostrowski see adults for anxiety, burnout, low mood, life adjustment and relationship work, in person across greater Hobart and by telehealth anywhere in Tasmania, with provisional psychologist Tessa Lofgren seeing clients at a reduced fee under supervision. Every enquiry, booking, referral explanation and Medicare claim runs through…
The system behind it
Clinic Front Desk Beyond the three agents, it adds the smart booking triage the Appointment Setter books into, sorting a new client, a returning client or a sooner-if-possible request into the right slot… Open the working demo→The agents
- Receptionist Agent Basic answers calls and messages in every gap Ben can't cover, evenings past closing and all of Sunday, and books straight into /book or takes a proper message. It never offers clinical advice or attempts to handle a crisis; anything that reads as risk is escalated using the same Lifeline 13 11 14 and 000 wording already on the site, word for word, not its own judgement. Ben opens the desk to a morning already booked, not a backlog of overnight voicemail.
- Appointment Setter Professional runs booking end to end by session type and clinician, sends SMS reminders against the practice's own 24-hour cancellation policy, handles reschedules in chat, and offers a freed slot straight to the wait list instead of leaving it empty. Wired to /book and /booking-and-cancellation-policy. This is what keeps the wait under two weeks through a busy January rather than drifting back toward six.
- FAQ Assistant Basic answers the Medicare rebate, referral and policy questions Ben currently explains by phone before almost every first appointment, trained only on what's already published at /faq and /guides/getting-a-mental-health-treatment-plan. It hands off anything outside that to a human rather than guessing, and it never discusses a caller's own situation or symptoms. Alison and Ben see which questions keep coming up.
Kept running on the Website + Custom Agent plan, with the agents scoped and quoted per workflow.
