What Chilwell Music Rooms got

Chilwell Music Rooms is a fifteen-year-old, family-run music school in Geelong West, teaching piano, guitar, drums, voice and strings across two buildings: a 1920s hall for individual lessons and the string ensemble, and a converted joinery workshop behind it for drums, voice, the production suite and the band room. Seven teachers run around forty AMEB exam candidates and two recital nights at the Verandah Theatre a year, all on a ten-lesson term structure billed up front, plus a fleet of thirty-plus hire instruments, keyboards, guitars and fractional violins, that gets…

The agents

  • Appointment Setter Professional books every trial lesson into a real weekly slot the moment a family enquires, instead of waiting on a call or email that only gets answered on a weekday morning before one o'clock, and reminds families of the $35 trial fee and its term credit. Wired to /enrol. Anna opens her admin window to a week already booked, not a list of calls to return.
  • Onboarding Assistant Professional runs the paperwork between a trial and a first term lesson: enrolment confirmation, an instrument hire request if the family needs a keyboard, guitar or violin, and the photo and recording consent a recital or production suite session needs, chasing whatever is incomplete. Wired to /enrol and /privacy. The office sees a checklist per new student, not a folder of half-returned forms.
  • FAQ Assistant Basic is trained on lesson length and pricing, the make-up lesson policy, instrument hire and how AMEB entries and deadlines actually work, answering the questions the office repeats every term. Wired to /faq and /guides/ameb-exams-explained. What falls outside its knowledge is logged and handed to Anna with the conversation attached, not lost to voicemail.
